California Voting Registers

There are several updates today with some examples-these include documents with range of years listed at the top- and clarifications on the residence field.
  California Voting Registers
 Some batches have two pages, one on top of the other.  One page is upside down in relation to the other page.  Index the correctly oriented page and then rotate the second page for indexing.  While the order of indexing is not critical, for consistency it would be helpful to index the correctly oriented page first and then rotate and index the second. 

For arbitrators- if you get a batch where both pages were indexed by both indexers, no matter in what order,  please do not send them back to be re-indexed.  If you get a batch where one indexer did it one way and one the other, please record match and move the records rather than sending it back for re-indexing.

UK 1871 Census Mismatched Batches

  1871 UK Census Mismatched Batches When you are trying to report a mismatched batch, please if at all possible get a share batch number and hold the batch for at least 24 hours to make sure that it is.  We are having to check out everyone of these (over 5000) and about 2/3 of them are actually just the example document rather than a mismatch.  It is very time consuming.  There is a example on the wiki about what a mismatch would look like.

No, do not index the page number that is by each couple when indexing this kind of page.  These are indexes and we only want the page number if there is one at the top (or other location) indicating the number of that one page.

North Ogden Utah East Stake ~~ New Stake Indexing Director

Indexing Birth Record Projects

Stillborn documents:
If the document says Birth or Stillbirth it is a recorded as a birth.  If the document says Death and is a stillborn child it is recorded as a death.

Indexing Ship Names New Zealand Passenger lists

We have several projects right now where the name of a ship is to be indexed.  Here are the guidelines:
DO NOT index any descriptive words such as SS which is an abbreviation for Steam Ship, Brig is a ship with two square masts, and a Sloop has different style of masts.

There are many death certificates of children and unknown individuals who died during Hurricane Audrey.  If there is no name on the certificate (including given, surname, or parents names) we cannot index the record. A gender, race, and term, such as child is not enough information.

Texas Birth Records

  Q: US Texas Birth Records 1935/004786558[171]  2 certificate numbers. He is asking which one to index he has checked the field helps and project updates and it is not covered.
A:The instructions say to use the certificate number or stamped number.  Not the register number.  Because this only has a stamped number.   That should be the one used.
Information for the Canadian Marriage Records:
Q: I am working on Canadian marriage records, and my question is this, the county (Welland) is written across the top, but not repeated down in the record itself, so do I use what is on the top of the form, or leave it blank?
A:There is enough variation in the records that the county isn’t written in the same place all the time anyway.  So if that’s the only county reference on that record, I’d probably use it.

Occupation - If listed as Farmer's wife, Farmer's son, etc., index what is on the document. - If more than one occupation is written, enter each separated by a space with no punctuation.  If the document has "and" between them - plumber and joiner- index it is as it is on the document.  If there is an ampersand replace it with the word and.

Washington DC

We are having a bit of an issue with place names:  District of Columbia and Washington, D C are both in the county look up and District of Columbia is also in the state AND city LUL.
Our discussion on this issue centered on ‘type what you see,’ and what fields are being populated.  Specific questions might be answered based on the project and what is being indexed.  In general we view Washington as a city, not a county or state.  DC or District of Columbia is not a city or a county or a state, but we would probably consider it to be properly indexed in a state field, not city or county.
 France Protestant Church Records This project has been changed to an advanced level project.

 France Protestant Church Records  They have run into some images that are from the 1500's.  They are in very good condition.  However, the regional form of French used is not typical French.  They are going to have to be done by a special scrub team.  If you download a batch, please have them return them using the Review Image option. Indexers the indexing program is now asking us to index these types of names without the space between the Mc and the rest of the name as shown.

Mismatched batches UK 1871 Census


If you get  a Mismatched batch, during the arbitration process please provide the following information to Indexing Support either by phone or Email. Please hold on to the batch for a few days to give the project manager time to evaluate your information.

  • Date you will hold the batch before returning it.

  Project update:  If the census taker began recording a household at the bottom of the previous census page and continued at the top of the page you are indexing, you should be able to find the schedule number from the previous image.  Field Help has been changed to reflect this is some counties.  The information applies to all.

Overlays versus "Overlapped Documents"


Overlays versus “overlapped documents”
There is a lot of confusion about the difference between an overlay and overlapped documents.
Many projects have images with two or more separate documents that overlap each other.  These are not considered overlays.  If the document is partially covered on one image but is uncovered on another image please index the document(s) from the image that shows the entire document.   There is no need to create an extra record to index partially visible documents in this circumstance.

 UK 1871 Census Mismatched batches-  We are finding that many of the mismatches that are being reported are not actually mismatches.  Could you please get a SB # and check to make sure that it is actually a mismatch and have the person hold the batch until we can make sure- this shouldn't be a long process, a quick look should do.  Films could be pulled erroneously if they are not.  Thanks!
